Current Opportunities

Programme Administrator (Holiday Programme)

From time to time, we’re able to create roles that support the coordination behind our programmes.

We are currently looking for a Programme Administrator to support our Holiday Programme across the year.

This role helps take pressure off volunteers and supports the smooth running of each programme. It is a part-time, flexible role that works across the full programme cycle (before, during, and after each Holiday Programme), with lighter coordination work continuing between programmes.

What the role involves

  • Coordinating communications with families
  • Supporting enrolments and programme setup
  • Keeping information organised and up to date
  • Ensuring programme documentation and records are completed and finalised in a timely way
  • Liaising with Programme Supervisors to help keep things on track
  • Working alongside the Chair and Treasurer as needed, including occasional committee interaction
  • Supporting ongoing admin between programmes (e.g. maintaining contact lists, preparing for upcoming programmes)

This is not a programme delivery role, but a coordination and admin support role working alongside Programme Leads and volunteers.

Time commitment

Workload varies across the year, with busier periods in the lead-up to and just after each programme, and lighter weeks in between.

The role is flexible in how and when work is done, but it follows the rhythm of the programme. There are a few key points in each cycle (such as enrolments and final confirmations) where tasks need to be completed within set timeframes. This includes wrapping up key programme documentation promptly following each programme (generally within the week after delivery), so that records and compliance requirements are kept up to date.

Outside of this, there is flexibility in how the work is managed. Overall, this equates to approximately 20–35 hours per programme, for up to four programmes per year.

Who this might suit

We are open to people from our community or wider network, and would especially welcome interest from within our AEW community. This role may suit someone who:

  • is organised and comfortable managing multiple tasks
  • communicates clearly and calmly with families and team members
  • is confident liaising with different people (families, supervisors, committee members)
  • has experience in admin, coordination, or similar work
  • is comfortable using tools like email, Google Drive, and basic systems

Experience working with neurodiverse children or within our community is valued, but not essential.

Role details

  • Casual / flexible hours aligned to programme cycles
  • Paid at Living Wage
  • Initial one-year role, linked to the Holiday Programme cycle, with the intention to review how the role is working and options to continue
